Security Companies Need Security Guard Management Software

I often get asked how I came to be involved with a security guard management software company, so I thought I would share my story with you.  Well, I got my start in the security industry by starting a security guard company with my father back in the early 2000’s.  But prior to working in the security guard industry I was a market researcher, which meant that I relied heavily on software, data, and technology when doing my job. So coming over to the security guard industry was a bit of a culture shock.  I couldn’t believe how much paper was generated by security officers on a daily basis.  What I discovered pretty quickly was that there were some definite drawbacks to relying on paper reports to communicate valuable information to customers or just manage a security guard company. Based on my experience as a market researcher, I knew that security guard companies needed a faster and easier way of managing information.  That realization is what eventually led me to start OfficerReports.com.

Challenge #1: Sending Incident Reports To Customer

There is a saying that goes “If time is money, then efficiency is profit”.  My understanding of how inefficient paper reports were first began because of what had become a Monday morning ritual.  On Monday mornings we would receive calls from customers who were upset because there had been an incident at their site over the weekend and they didn’t have an incident report.  Most of the times it wasn’t because our officers weren’t doing their jobs, it was because our process for reviewing incident reports took some time.  Our process required us to collect the incident reports from the site, get them back to our office for review, and then fax them back to our customers once they had been approved.  It was an effective process, but very inefficient.  Customers wanted information faster.

Challenge #2: Timesheets

My next big clue that paper was inefficient was the amount of time that we were devoting to processing payroll.  Because we used paper timesheets to collect our officers’ hours, we often had to send supervisory personnel to collect timesheets from the field.  Once those paper timesheets were collected, it was usually a 2 – 3 day process collating, verifying, and calculating hours.  So for a security guard company that already found itself without enough time to train, recruit, and chase new business we spent 4 – 6 days a month on payroll.  That’s one week of productivity per month up in smoke.

Other Challenges: Losing Daily Activity Reports, Lost Schedules, etc…

In addition to incident reports and timesheets there were other challenges as well.  I won’t even start to tell you about the conversations that I had with customers who wouldn’t pay invoices because there were daily activity reports missing.  Or officers not showing up for work because they lost their schedules.  Managing a security guard company using paper opens the door for too many headaches.

As a result of facing those challenges I searched for several years for a software solution that was well suited for  small to medium-sized security guard companies, but was never able to find a good one.  In 2012, after being frustrated with not being able to find a quality low-cost solution, I did the unimaginable and started developing my own.  Based on the early success of that rudimentary software package I knew I was onto something.  Since then, I haven’t looked back.
