Smart Features Are Like Magic For Your Security Company

Until now OfficerReports.com has done a good job of providing you with an easy way to monitor your security officers’ activity, collect and disseminate reports, and manage your security officers’ time and attendance.  But now, we are embarking on a new phase in our software development. The new phase of the development is implementation of what we call Smart Features.  Smart Features will allow the software to act like a magical 24-hour supervisor that doesn’t need to be paid, doesn’t sleep on the job, or call off from work on holidays.  Like any good supervisor, the software will help to ensure that your officers are following your policies and procedures.  The Smart Features will monitor your officers to ensure that they are arriving at work on time and once they are there, ensure that they are performing patrols, and/or are alert and safe.

There will be multiple stages to the Smart Features rollout, with this being the first stage. With the first stage of the rollout we are activating several features: Tour Tracking Monitoring, Clock-In/Out Monitoring, and a Real-Time Dashboard.  The description of these features are described below:

Security Guard Tour Tracking Monitoring

One of the challenges of monitoring your security guards is having to manually check whether or  not your officers are performing their jobs in the manner that they should be. With Smart Features the software will do that for you in 3 different ways:

  • magic-smartphoneMonitoring Security Officer Activity: The software will allow you to set how many Tour Stops that the officer should be performing in a given time period.  If the officer does not meet that standard the software will alert you by email that this is something that you need to check on.  In many cases you will be able to use this feature as a wellness check for officers.
  • Out of Range: The software will now alert you if a tour scan is done off-site.  This alert is meant to signal you if an officer attempts to make a copy of the QR code and takes it off site to scan it.
  • Rating: The new rating system gives you a visual indication of the quality of the scans that you are receiving.
    • Very Good – High location accuracy and Officer is onsite or very close to the site.
    • Good – Good location accuracy and Officer is onsite or close to the site.
    • Average – Average location accuracy and Officer is on or close to the site.
    • Bad – Accuracy and distance indicate that the Officer may not be onsite.
    • Very Bad – Accuracy and distance indicate that the Officer is probably not onsite and over a mile away.
    • Undetermined – Accuracy to too low to determine if the Officer is onsite.

Clock In/Out Monitoring

  • Minutes Before Start Time:  This indicates the number of minutes that you want the officer to Clock In before the start of the shift. For our customers who are concerned that officers are clocking in prior to the start of their shift this feature will alert you if your officers’ Clock In is outside of an acceptable range.  So if your Before Start Time is 2 minutes before the shift, if you officer clocks in 10 minutes before the start of the shift you will be alerted and you can take the necessary corrective action.  This process works the same for Clock Out.
  • Minutes After Start Time: This setting is the number of minutes that your officers have to sign in before your supervisor is alerted that the officer has not signed in. So if your setting is 5 minutes, then you security officer has 5 minutes after the start of the shift to Clock In before you are alerted. This process works the same for Clock Out.
  • Clock In/Out By Phone Only:  Choosing this option forces your officers to Clock In from a landline at your customer’s site. For sites where you have not deployed a smart device and the officer is using a computer they can now Clock In using the site’s phone.

Real-Time Dashboard

The Real-Time Dashboard allows you, your watch captain, or dispatch center to watch what is happening in real-time at your sites all at once.  You are able to filter the Dashboard by:

  • Site
  • Activities (Sign In, Tour Stops, Incident Reports, Field Inspections, etc.)

To access the Dashboard go to your Reports menu in the Admin window and select Real-Time Dashboard.
